We are on the lookout for a People & Payroll Specialist to join our team at Vancouver Island Brewing in beautiful Victoria, BC! This role is on a part time flexible working arrangement with an estimate of 24-30 hours per week. Reporting to the VP of Culture and Community, you will work closely with the General Brewery Manager and Divisional Leadership team to provide great service to our Vancouver Island Team. The People and Payroll Specialist will be responsible for the administration and coordination of all people activations and managing the bi-weekly payroll. You will also be responsible for the development and execution of all safety training and processes to achieve safety excellence. This individual will bring an educated knowledge in payroll and human resources while demonstrating a passion for our values, creating a safe environment, and make a difference.
Responsibilities:
  • People Coordination:
    • Orientation and Onboarding: this includes the ongoing development of an onboarding program, conduct training on the overall Brewery programs and policies, acquire signatures, documentation of applicable new hire forms, training and following up with the new team members on onboarding effectiveness
    • Recruitment and Selection: actively work with your manager to develop an up-to-date role description, post all non-management positions internally and externally, shortlist candidates, conduct the first stage of the interview process, provide recommendations for next stage of interviews, and develop and execute a referral program.
    • Training and Development: develop a tracking system for training plans, arrange for training sessions and follow up to verify the level of quality of all training.
    • Building Positive Relations: assist the Office Manager and department leaders in various activations and initiatives to help engage the team and enrich the values of the brewery.
    • Communication: Maintain an open door and provide support to all team members, conduct all exit interviews to identify root causes and work with your manager on recommendations for enriching our workplaces.
    • Benefits Administration: verify monthly accuracy and reconcile benefits premium deduction and billings, processing enrollments, pay changes and terminations, and provide support to team members on all benefit questions
    • File maintenance: Assist in the implementation of the HRIS/Payroll system, maintain accurate records of all employee information, tracking matrix and work closely with the employee’s reporting manager to ensure proper documentation

    Payroll Administration

    • Working closely with the VP to maintain and ensure accuracy in the HRIS system. Administer all people database adjustments including employment changes, personal information, training records, and compensation adjustments.
    • Develop a tracking mechanism to ensure changes have been administered and communication completed between the HRIS and Payroll system.
    • Administer bi-weekly and bonus payroll runs for all BC team members, ensure timekeeping, compensation and deductions are accurate. Work with the Director of Finance to verify payroll prior to submission
    • Complete all T4 and ROE submissions
    • Communicate with finance on any tuition reimbursements, taxable Health Care benefit changes, premiums and remittances, along with garnishes.

    Safety and Wellness Coordination:

    • Safety Training: Analyzing training and safety program needs and provide recommendations to the VP and General Brewery Manager. Identify the target audience and customize the safety training curriculum, facilitate training, and follow up on the training effectiveness.
    • Health and Safety: Coordinate and administer all aspects of our health and safety program including JHSC meeting minutes, support Operations safety talks, and work cooperatively with the JHSC and management to strengthen our health and safety program
    • Safety Compliance: Actively participate in training and safety group meetings, be the first to know about new legislative requirements and lead JHSC talks on safety blitz and OHS compliance requirements
    • Injury Reporting: report any required injuries with WorkSafeBC, track of any near misses or minor injuries. Apply root cause analysis and preventative measures
    • Safety Audit: Lead all self-audit initiatives and work closely with Safety Alliance resources on effective program compliance, audit execution and apply for WCB premium rebate. Provide recommendations to JHSC and VP of Culture and Community on future requirements.
    • Support Safe Brewery Operations: as required, support all equipment initiatives, new and revised SOP’s as it relates to safe operations and training. Lead all training initiatives and documentation required.
    • Wellness Program: upon approval, develop and manage a Brewery Wellness Program addressing topics and initiatives on work-life balance and health
    • File Maintenance: provide excellent and diligent documentation of all training, communications, changes to program and policies, OHS and WorkSafe BC forms and correspondence.
Required Experience, Skills & Attributes:
  • College or University degree in Business Administration, certified in payroll administration preferred
  • 2-3 years of experience in the HR or payroll field, preferably in a manufacturing or brewery setting

We are on the lookout for a General Brewery Manager to join our team at Vancouver Island Brewing in beautiful Victoria, BC! With great passion for team and facility leadership, the General Brewery Manager will authentically lead the brewery to drive diligent performance, builds team camaraderie, and have a customer centric mindset. As the GBM, you will be fiscally responsible for budgets and expenditures of the brewery facility, development of staff and culture, and champion process planning. You will foster a transparent relationship with ownership, and actively collaborate with the senior team to grow our market footprint and enrich our community support with strong integrity and ethics.
Responsibilities:
  • Direct accountability for leading all aspects of the brewery facility to a level of performance identifiable with best-in-class manufacturing practices and customer centric focus, utilizing continual improvement and invest in both people and processes to develop a high performing workforce.
  • With the responsible for building and leading an energetic and collaborative management team, the General Brewery Manager will focus on ‘at the brewery’ functions such as Brewing, Packaging, Supply Chain & distribution, facility & equipment maintenance, Capital expenditures, Safety and Environmental Sustainability, and collaboration with additional resources including finance, Human Resources, Taproom, Marketing, and sales teams to ensure brewery targets are achieved.
  • Through a lead-by-example leadership style, the General Brewery Manager will enrich a culture of unwavering commitment and provide dedicated clarity on the vision, values, obstacles, and opportunities to achieve the objectives of the brewery facility. Authentically lead and promote an agile effective team-based working environment through coaching, engaging communications and project management. Educate the internal team on the vision, values and Key Success Indicators of the brewery’s facility
  • Collaborating with department managers and maintenance to ensure the brewery’s facility and equipment are adequately designed, built, and maintained. Actively lead on all capital expenditures.
  • Oversight of operations materials management and procurement, ensuring negotiations of major procurement contracts to provide proper cost, delivery and quality commitments are attained
  • As the leader of the facility, lead communication with the landlord and actively support and provide tools for Health and Safety committee, to ensure organizational compliance in equipment, training, and communication to the team is adhered too. Participate in meetings and empower the JHSC to facilitate recommendations and participate in the solutions
  • As the Brewery leader, be the public ambassador of the Brewery’s facility and provide political and leadership facility tours. Be the spokesperson for the facility and communicate our commitment to our vision, values, and local community.  Actively engage in local business community events to build strong relations and uncover business development opportunities.
  • Develop positive relationship built on strong communication and collaboration with our sister brewery and other external partnerships relating to operations optimization and utilization of resources.
  • Network with various industries to build relations and establish best in class processes and programs associated within facility operations, environmental sustainability, and safe work practices.
  • Work closely with the Director of Finance and other leadership team members to ensure fiscal responsibilities and is accountable to develop the annual budget, build inventory to forecast and demand planning, and ensure the safe and effective operations of the facility to meet these financial targets.
  • Build a trusting partnership with ownership and leadership through strong communication and take accountability for strategic objectives, financial and capital budgets, and the brewery’s successes, challenges, and opportunities. Provide recommendations on long term fiscal performance initiatives and capacities.
  • Work closely with the People team to instil a culture of continuous development, open communication, and accountability. With the support of the People tools and practices, facilitate team building and learning opportunities, and be accountable for performance management and career development for all reporting team members and functions.
  • Work closely with the Sales and Marketing leadership to ensure Critical Path, Brand standards and production builds and materials meet the forecasted volume and launch deadlines.
  • Work closely with the Director of Brewery Innovation to support our innovation pipeline and Centre of Excellence team. Work together to develop high quality standards, project planning and optimize resources in people and material.
Required Experience, Skills & Attributes:

Our ideal candidate comes with proven senior leadership experience within brewery or beverage operations with ethical and authentic leadership qualities.

  • Bachelor’s degree in a related discipline is required, Industrial/Chemical/Mechanical Engineering degree would be an asset
  • Minimum of 10 years progressive management experience with 5 years in a manufacturing plant management or operational management role. Experience in the brewing or similar industry is preferred
  • Proven ability to lead all functions of the Brewery with a focus on Operations, and strong collaboration experience with various strategic leadership team members in the day-to-day operations at the brewery
  • Passion, experience, and education in inclusion practices to ensure diversity & equity standards are cultivated
  • Comprehensive knowledge of Good Manufacturing Practices including Continuous Improvement processes and KPI’s
  • Demonstrated ability to instill a culture of high performance, accountability, and quality
  • Proven record in building and maintaining exceptional relationship management/networking skills
